Personal Information Protection Policy

The Smaregi privacy policy complies with the Guidelines for Personal Information Protection stipulated by the Personal Information Protection Commission and consists of the following items to protect personal information and the privacy of customers who submit questions and individuals at companies that do business with Smaregi.

1. Purpose

Smaregi has established this personal information protection policy while taking into account global trends concerning the protection of personal information. This policy defines our rules and systems to protect the personal information of our customers and business partners collected through services provided by Smaregi or used in business activities. Smaregi is committed to complying with all provisions of this policy as required by laws and ordinances for personal information protection.

2. Basic policy

  1. Smaregi collects, uses and provides personal information in a manner that is suitable in relation to the characteristics and scale of its business activities.
  2. Smaregi uses personal information only for the purposes listed in notices provided to customers. Customers’ personal information will not be disclosed nor provided to third parties unless the prior consent of customers has been received or the disclosure is required by law.
  3. Smaregi will comply with the Act on the Protection of Personal Information as well as related laws and regulations, guidelines established by the Japanese government and other rules.
  4. Smaregi will respond with promptness and sincerity to questions from a customer and requests for disclosure or other actions involving that individual’s personal information.

3. Safety Management Measures

  1. Smaregi uses numerous measures to ensure that personal information is accurate and up to date. There are also measures to protect personal information from unauthorized access, losses or destruction, alterations, leaks and other threats along with programs to make corrections in the event of a problem.
  2. Smaregi has established the personal information management system to ensure and maintain the reliability of its personal information management system and makes improvements continuously.

4. Use of cookies to collect access information

Smaregi uses cookies to collect customers’ access information for the following purposes. Information received by using this technology is anonymous and cannot be used to identify a specific person. In addition, this information will never be used for other than one of the stated purposes.

5. Name, title, department and contact information for the personal information protection manager

The following individual has been appointed as the manager of personal information protection. This person is responsible for the safe and proper management of this information and protection of this information to prevent leaks, losses and destruction.

6. Purposes of using personal information

Smaregi uses personal information received from customers only for the following purposes. If there is a need to use this information for a reason other than one of the purposes disclosed in advance, customers will be notified and information will be used for this reason only after receiving the consent of each customer.

  1. To respond to questions and requests and send notices to customers
  2. To provide information and messages involving services, respond to questions, conduct surveys and send e-magazines
  3. To provide information about seminars, exhibitions and other events held by Smaregi alone or with partners and for the operation, management and administrative procedures associated with these events
  4. To prepare statistical data that has been processed to protect the identities of individuals for use in marketing activities and the launch of new services
  5. To distribute/display advertisements and other content by using information about individual’s categories, type of electronic device owned, location and other characteristics and to provide services

7. Voluntary nature of the provision of personal information and its effects

Personal information is supplied voluntarily by each individual. Individuals who do not supply all or part of the information that is required may be unable to receive all or some Smaregi services.

8. Provision of personal information to third parties

Smaregi will not disclose or provide customers’ personal information to third parties other than in the following cases.

  1. With the prior consent of the customer
  2. When required by laws or regulations
  3. When required to protect an individual’s life or property and it is impossible to obtain the individual’s consent in advance
  4. When disclosure is needed particularly for the improvement of public hygiene or the sound development of children and it is impossible to obtain the individual’s consent in advance
  5. When there is a need to cooperate with an administrative procedure of a national or local government agency or an individual designated by law to perform this procedure and obtaining the individual’s consent in advance may prevent the successful completion of the procedure

9. Outsourcing of personal information

Smaregi may outsource some tasks in order to accomplish a purpose of use of personal information listed in the preceding item 6. When outsourcing tasks, Smaregi selects companies that can properly handle personal information, signs agreements with these companies concerning confidentiality and the proper management of this information, and supervises companies to manage personal information properly.

10. Handling of anonymously processed information

Smaregi produces data that has been processed to ensure that all sources are anonymous as prescribed in the Act on the Protection of Personal Information. This information is produced and handled in accordance with laws and regulations and the standards in applicable guidelines, including the rules of the Personal Information Protection Commission, and by using safety management measures established in advance.

11. Requests concerning personal information

Smaregi accepts the following requests from individuals concerning actions involving their personal information. Please submit requests to the Complaint Consultation Office.

  5. Removal or termination of provision to third parties

12. Privacy policy revisions

Smaregi reexamines the framework for the handling of customer information as needed in order to make improvements continuously. As a result, the privacy policy may be revised from time to time. This website should be used to view the current version of the privacy policy.

13. Questions and requests concerning personal information

All questions and requests from customers about their personal information and any matters involving the personal information protection policy should be submitted to the Complaint Consultation Office.

  1. After receiving a request for a procedure, Smaregi will send to the individual by postal mail the required form: Request for Disclosure, Etc. of Personal Information Subject to Disclosure.”
  2. Return the completed form by postal mail to the personal information contact listed above. Also include a postal money order for the fee for the procedure, which is needed only for requests for the notification or disclosure of purposes of use. If the request is submitted by an agent, include a document confirming that this party is acting as the individual’s agent.
  3. After receiving this request form, Smaregi will ask the individual to provide about two items in the individual’s personal information registered at Smaregi in order to confirm the individual’s identity (for example, a telephone number and date of birth).
  4. As a rule, responses to requests will be sent to individuals in writing by postal mail.
3) Confirmation documents required for requests submitted by agents

When a request is submitted by an individual’s agent, the request must include a document confirming that the party is acting as the individual’s agent and confirming the identity of the agent. Information of registered domicile included in each document should be up to prefecture and subsequent information should be removed or made illegible. All documents should not include the individual’s personal identification number or this number should be deleted or made illegible.
